Clubs hold some of the most sensitive information there is. My Active Club is designed with UK safeguarding practice and data protection in mind, and every feature starts from the question of who should be able to see it.
Role-based access
Administrators, coaches, viewers, shared club tablets and parents each have distinct, limited permissions — enforced by the platform, not by hiding buttons.
Curated parent views
Parents see their own children through a purpose-built portal. Coaching notes, other families and staff-only records are never part of it.
Emergency information where it's needed
Medical alerts and emergency contacts are beside the register for authorised staff — visible in one tap during a session, and only to those with the right role.
An audit history behind changes
Records of who changed what, and when — so a question asked months later has an answer.
Each club's data stays its own
Clubs on the platform are isolated from one another at the data layer. Your records are yours.
Common questions
Is it only for gymnastics?
No. The platform grew up on a real gymnastics club floor, which is why the register and progression tools feel the way they do — and it is designed for any club that teaches in groups: martial arts, dance, cheer, swimming, performing arts and beyond. Sessions, groups, and the names of your stages and skills are all yours to set.
Can we use our own levels, belts or grading system?
Yes — your programme's stage names, colours, the skills or techniques inside each stage, and the completion rules for moving up are all editable in the admin area. Setting up a brand-new stage structure (a belt ladder, exam grades, swim stages) is something we do with you when your club comes on board, so coaches assess against your programme from day one.
Does it work on tablets during a class?
Yes — that is the main way coaches use it. A shared club tablet signs in once; each coach unlocks it with their own PIN, so every register mark and assessment is attributed to the right person. If the hall Wi-Fi drops, changes are kept safely on the tablet and saved automatically when the connection returns.
What can parents see?
Parents sign in to a portal showing only their own linked children: current level and progress, awards and certificates, club notices, and the medical, contact and consent details the club holds for their family. They can answer consent questions directly and request changes to care details, which staff review before anything is updated. Coaching notes and other families' information are never visible.
Can we import existing club records?
Yes. There is a guided CSV import with field mapping, validation, duplicate detection, a preview before anything is written, and a rollback if you change your mind. Per-table exports and a full club backup are built in too.
Is payment collection included?
Not yet. The platform includes membership and billing foundations — plans, family billing accounts and one-off payment requests — but live, recurring payment collection is still in development and we would rather not sell it before it is real. Ask us about the current state when you get in touch.
